What Most Event Planners Get Wrong About AV (And How to Fix It Before Your Next Event)

A person wearing headphones edits audio and video files on a computer with multiple screens, showing colorful timelines and waveforms.

Every event planner will recognize a certain point during the event. The hall is packed, the speakers are lined up, and then the sound fails you. Your microphone stops working. Your presentation stops halfway through. The mood changes. Everyone starts checking their phones.

Whether you want an impeccable event or a difficult one might depend on only one thing: the audio visual setup of the event and the company responsible for providing it. Whatever kind of event you have in mind – a corporate seminar, a trade show exhibit, a product launch, or a gala dinner – audio visual is the foundation of your event.

If you have ever sought audio visual Orlando services and were confused at the choice you had, you are not the only one who feels that way.

Why Audio Visual Matters More Than You Think

For events, the largest portion of budgets are usually allotted to food and beverages, venue rentals, and decorations. Audio Visual usually gets the rest of the budget. It is among the most common and expensive mistakes made by event planners.

Let us take a moment and think about how the guests of your event perceive your event. The keynote speech is heard via sound system. The brand video is seen on the LED screen. Agenda is viewed on the screens of the digital signage. Each and every touch point that involves any technology is audio visual touch point.

According to 2023 research by Eventbrite, the poor quality of production is among the most common complaints about events made by guests, even if content of those events was great. People tend to forget a great speaker if they couldn’t hear half of it.

    The Cost of Cutting Corners

Sure, renting cheaper equipment from companies that don’t even have skilled operators can be tempting in order to save some money. However, what will you do in case anything goes wrong at a presentation with 500 people? The damage to the company’s reputation, the angry sponsors, the complaints on the Internet – none of this is included in your comparison.

Professional audiovisual companies are not only able to bring in the equipment. They are also able to provide you with an entire plan B and skilled technical personnel.

What to Look for in an Audio Visual Partner

Choosing the right AV company is not just about who has the best price list. Below are the reasons that will come in handy while making this decision.

Experience With Your Type of Event

A company specializing in arranging small-scale business meetings might not have the required equipment for a 3,000 people tradeshow. You should make inquiries only about events which correspond to your type of event.

For instance, a drug company having a compliance training meeting would require a totally different setup from a technology firm launching a new product line.

    Modern, Well-Maintained Equipment

Technological advances happen quickly. Companies that use outdated technology like mixing boards and standard definition projectors are certainly not an appropriate partner for a progressive company.

It is important to find partners who are willing to use LED video walls, digital audio, redundant wireless microphones, and streaming services. These should not be viewed as add-on options. They are essential in professional events today.

    A Consultative Approach

The best AV companies don’t just take your order and bring equipment. They talk to you – either in person or on the phone – and figure out what your goals are, your room setup, how many people will be attending your event, and what your budget is.

It’s through this consultative approach that a vendor becomes an event partner. And when they have a good idea about your vision, there’s nothing but success on the other side of it.

Planning Your AV Setup: A Practical Guide

Regardless of the size of your event, a few planning principles will dramatically improve your audiovisual outcomes.

    Start Earlier

AV planning must be done along with the venue selection process. There are some venues that place limitations on external AV suppliers. Others have load-in schedules which will reduce your preparation time.

In a general scenario, one needs to contact their AV partner six to eight weeks prior to an event. In case of a trade show or conference, three to four months is not too long a period.

Walk the Venue With Your AV Team

A visit to the venue is mandatory for a complicated event. Your audio visual staff will require the ability to look at the ceiling height, check the acoustics, know where there is power available, how cables can be run, and whether there are any sight lines issues.

One issue could be ballrooms with high background noise coming from the air conditioning and ventilation system. An expert audio visual staff will be able to see that and advise which type of microphones would help overcome that problem.

    Build In Redundancy

Always ask your AV company what happens if a piece of equipment fails during the event. Professional teams bring backup microphones, spare cables, and redundant switchers. This is standard practice at well-run events.

If a company cannot clearly answer the question about backup plans, that is a red flag worth noting before you sign a contract.

    AV Mistakes Commonly Made

Even experienced event planners fall into the same traps when it comes to AV. Here are the ones worth watching out for.

Booking AV last minute. Good companies get booked early, especially during peak conference season. If you wait until two weeks out, you may be left with whatever is available, not what is best.

Ignoring the run of show. Your AV team needs a detailed schedule of the event, including when presentations start and end, when video rolls, and when Q&A happens. Without this, transitions become guesswork.

Forgetting the hybrid component. If even a portion of your audience will join remotely, your AV setup needs to account for that from the start. Retrofitting a live stream onto an in-person setup rarely works well.

Underestimating setup time. A fully staged general session with lighting, LED walls, multiple screens, and a professional sound system can take a full day or more to set up properly. Factor this into your venue contract.

Trade Shows: AV as a Competitive Advantage

On a trade show floor, your booth competes for attention in a crowded, noisy environment. AV is one of the most powerful tools you have to stand out.

A bright, high-resolution LED display playing your product demo on a loop will draw foot traffic from across the hall. Directional speakers can deliver your message to people standing directly in front of your booth without adding to the general noise of the floor.

Companies that treat their trade show AV as seriously as their marketing collateral consistently report better lead generation and higher engagement from attendees. The visual first impression matters enormously in that setting.

Your Event Deserves Better Than “Good Enough”

The events that people remember are the ones where everything felt effortless. The sound was clear. The visuals were crisp. The transitions were smooth. None of that happens by accident.

It happens because an experienced AV team planned for every scenario, arrived prepared, and cared about the outcome as much as you did.

Whether you are organizing a 50-person boardroom presentation or a 5,000-person convention, the standard should be the same: professional equipment, a knowledgeable crew, a consultative process, and a partner who is invested in making your event a success.

When you find that kind of AV partner, hold on to them. They are harder to find than good catering.
